Organization Structure

The Organization Structure page under System Settings provides administrators with a centralized workspace for creating and maintaining the company’s organizational hierarchy. It manages seven organizational unit types—Business Entity, Business Unit, Department, Office, Team, Location, and Cost Center—through a searchable, filterable, tab-based interface and an interactive Organization Chart. Administrators can create, view, edit, activate, deactivate, delete, and organize units while maintaining parent-child relationships. The module also synchronizes department information with the Position Org Structure module to keep department assignments and headcounts up to date.

Access Organization Structure

  1. Navigate to System Settings.
  2. Select Organization Structure.

Only users with the Administrator role can access this page. If a user’s role changes from Administrator to Employee while viewing the page, the system automatically redirects them to My Dashboard.

Organization Structure Dashboard

The page consists of two main sections:

  • Organizational Unit Table
  • Organization Chart

The toolbar includes:

  • Global Search
  • All Types filter
  • All Status filter
  • New Organizational Unit
  • Refresh
  • Reset
  • Column Settings
  • Sort and Filter options

A statistics strip displays the total number of organizational units based on the current structure mode.

Organizational Unit Types

The module supports the following organizational unit types:

  • Business Entity
  • Business Unit
  • Department
  • Office
  • Team
  • Location
  • Cost Center

Each unit type has its own table columns and create/edit form based on its business requirements.

Search and Filter Units

Administrators can locate organizational units using:

  • Global Search
  • Unit Type filter
  • Status filter (Active/Inactive)

The table updates instantly as filters or search criteria are applied.

If no matching records are found, an empty state is displayed.

View Organizational Units

Select any unit type tab to display its records.

Each row displays:

  • Unit Code
  • Unit Name
  • Status
  • Type-specific information
  • View
  • Edit
  • Activate/Deactivate

The toolbar also displays the total record count for the selected unit type.

View Organizational Unit Details

To view complete information:

  1. Open the required unit.
  2. Review the read-only information.
  3. Select Edit if changes are required.

The detail page displays all saved information for the selected organizational unit.

Create an Organizational Unit

To create a new organizational unit:

  1. Open Organization Structure.
  2. Select the required unit type.
  3. Click New.
  4. Enter the required information.
  5. Click Add.

The system automatically generates the Unit Code when the record is saved.

Required Information

Depending on the organizational unit type, the form may include:

  • Unit Name
  • Unit Type
  • Primary Parent
  • Secondary Parent
  • Status
  • Description
  • Start Date
  • Head Manager
  • Location
  • Cost Center
  • Budget

Mandatory fields are validated before saving. If the Unit Name is blank, the system displays “Unit Name is required.”

Edit an Organizational Unit

To modify an existing organizational unit:

  1. Select the required unit.
  2. Click Edit.
  3. Update the required fields.
  4. Click Save.

The Unit Code remains read-only after creation. Changes are immediately reflected in both the Organizational Unit table and Organization Chart.

Activate or Deactivate Units

Administrators can activate or deactivate units by:

  • Using the row-level status button
  • Using the Organization Chart context menu
  • Using the node detail panel

The status updates immediately across the table and chart.

Delete an Organizational Unit

Organizational units can be deleted if they do not have child units.

If a unit contains child units, deletion is prevented and the system displays an error message indicating that units with children cannot be deleted.

Organization Chart

The Organization Chart provides a visual representation of reporting relationships.

Features include:

  • Zoom In/Out
  • Pan
  • Fit to Screen
  • Reset View
  • Expand All
  • Collapse All
  • Node Details
  • Right-click Context Menu
  • Export Chart

The chart supports viewing hierarchical relationships between organizational units.

Node Actions

Administrators can perform actions directly from an organizational unit node, including:

  • View Details
  • Edit Unit
  • Add Child Unit
  • Focus Node
  • Expand Subtree
  • Activate/Deactivate
  • Delete Unit

Changes made from the chart are synchronized immediately with the Organizational Unit table.

Structure Modes

The Organization Chart supports two viewing modes:

  • Department Centric
  • Dept-Position Centric

Switching the structure mode immediately refreshes the chart.

In Dept-Position Centric mode, position nodes are displayed beneath Department nodes.

Synchronization with Position Org Structure

The Organization Structure module integrates with the Position Org Structure module.

When departments are:

  • Created
  • Updated
  • Deleted

the corresponding department information and headcounts are synchronized automatically with Position Org Structure. If a department with assigned positions is deleted, the system flags affected positions for reassignment.

Each organizational unit stores information such as:

  • Organizational Unit ID
  • Organization Code
  • Unit Name
  • Unit Type
  • Status
  • Description
  • Start Date
  • Head Manager Employee ID
  • Location
  • Cost Center
  • Budget
  • X Coordinate
  • Y Coordinate
  • Width
  • Height
  • Updated Date

These properties uniquely identify each organizational unit and support both hierarchy management and organization chart rendering.
