Time Manual Leave Debit

The TL Manual Leave Debit page allows HR administrators to configure manual time lapse leave deduction rules for employees whose attendance shortfall requires HR review before leave is deducted. Rules are configured using organizational scope, time lapse thresholds, deduction slabs, and leave deduction priorities. When an employee’s attendance shortfall exceeds the configured threshold, the rule determines the applicable leave deduction, which HR later reviews and applies in bulk through the Leave Adjustment → TL – Manual Leave Debit page.

Access TL Manual Leave Debit

  1. Navigate to Configuration Settings.
  2. Select TL Manual Leave Debit.
  3. The TL Manual Leave Debit page opens displaying all configured rules.

The page displays an informational banner together with a table containing all manual leave deduction rules.

TL Manual Leave Debit Rules

The rules table displays all configured manual leave deduction rules.

The table includes:

  • Business Unit
  • Country
  • Location
  • Time Lapse Hours = Days
  • Priority 1
  • Add Priority
  • Actions

Administrators can edit and delete rules directly from the table.

Search Rules

Administrators can quickly locate rules using the search bar.

Rules can be searched by:

  • Business Entity

If no matching records are found, the system displays “No records found matching the criteria.”

Create a New Rule

To create a new Time Lapse Manual Leave Debit rule:

  1. Open TL Manual Leave Debit.
  2. Click +New.
  3. Complete the required information.
  4. Click Create.

The New Deduction Rule dialog opens with:

  • Country defaulted to IN
  • One empty deduction slab ready for configuration

Scope

Configure where the rule will apply.

Business Entity

Business Unit

Country

Location

Time Lapse Hours = Days

Configure the attendance shortfall threshold.

Enter the number of attendance shortfall hours that will trigger manual leave deduction processing.

This field is mandatory.

Time Lapse – Leave Deduction Slabs

Configure one or more deduction slabs.

Each slab defines:

  • Hours
  • Leave Days to Deduct

Multiple slabs can be configured to create graduated leave deductions based on increasing attendance shortfall.

Leave Deduction Priority

Configure the order in which leave balances should be deducted.

Available priorities include:

  • Priority 1 (Mandatory)
  • Priority 2 (Optional)
  • Priority 3 (Optional)

If the leave balance for Priority 1 is insufficient, the system evaluates the next configured priority.

Save the Rule

After completing the required information:

  1. Review the configuration.
  2. Click Create.

When editing an existing rule, click Update.

The system validates:

  • Country
  • Time Lapse Hours = Days
  • Priorities

If validation succeeds:

  • The rule is saved.
  • The dialog closes.
  • The updated rule immediately appears in the table.
  • A confirmation message is displayed.

If mandatory information is missing, validation errors are displayed and the dialog remains open until all required fields are completed.

Edit a Rule

To modify an existing rule:

  1. Locate the required rule.
  2. Click the Edit icon.
  3. Update the required information.
  4. Click Update.

The Edit Deduction Rule dialog opens with the existing scope, threshold, deduction slabs, and leave priority configuration already populated.

Delete a Rule

To permanently remove a rule:

  1. Locate the required rule.
  2. Click the Delete icon.

The rule is immediately removed from the table. No confirmation dialog is displayed before deletion.

Apply Manual Leave Deductions

The TL Manual Leave Debit page is used only to configure deduction rules.

After employees exceed the configured attendance shortfall threshold, HR reviews the flagged employees and applies the leave deductions in bulk from:

Leave Adjustment → TL – Manual Leave Debit

The deduction process itself is performed on the Leave Adjustment page and not within this configuration module.

Each TL Manual Leave Debit rule stores the following information:

  • Rule ID
  • Business Entity
  • Business Unit
  • Department
  • Country
  • Location
  • Threshold Hours
  • Shortfall Hours
  • Leave Deduction Value
  • Is Enabled
  • Is Active
  • Sort Order
  • Created At

These properties define the organisational scope, attendance threshold, leave deduction logic, and processing behaviour for each manual leave deduction rule.
