OT Auto Leave Credit

The OT Auto Leave Credit page allows HR administrators to configure rules that automatically convert approved employee overtime hours into leave credits. Rules can be created based on organisational scope, overtime-to-leave conversion ratios, credit periods, leave limits, and leave types. Administrators can search, filter, edit, enable or disable, and delete rules from a single interface. Active rules are automatically applied during overtime processing.

Access OT Auto Leave Credit

  1. Navigate to Configuration Settings.
  2. Select OT Auto Leave Credit.
  3. The OT Auto Leave Credit page opens displaying all configured rules.

The page displays all existing rules along with their current status and conversion settings.

OT Auto Leave Credit Rules

The rules table displays all configured OT Auto Leave Credit rules.

The table includes:

  • Auto OT Credit
  • Business Entity
  • Business Unit
  • Department
  • Country
  • Location
  • Credit Period
  • OT Hours → Leave Days
  • Leaves Per Period
  • Leave Type
  • Actions

Administrators can edit, activate, deactivate, or delete any rule directly from the table.

Search and Filter

Administrators can quickly locate rules using the available search and filter options.

Available features include:

  • Search by Business Entity
  • Filter by All, Active, or Inactive

If no matching records are found, the system displays “No records found matching the criteria.”

Create a New Rule

To create a new OT Auto Leave Credit rule:

  1. Open OT Auto Leave Credit.
  2. Click + Add Rule.
  3. Complete the required information.
  4. Click Save Rule.

The New OT Auto Leave Credit Rule page opens with the Auto OT Credit toggle enabled by default.

Rule Information

Configure the following information while creating or editing a rule.

Auto OT Credit

Enable or disable automatic overtime leave crediting for the rule.

When enabled, the rule is applied automatically during overtime processing.

Business Entity

Business Unit

Department

Country

Location

Credit Period

Select how frequently overtime hours are converted into leave credits.

The selected Credit Period determines the frequency of automatic leave credit generation.

OT Hours

Specify the number of overtime hours required to qualify for leave credit.

Example:

  • 8 OT Hours

This field is mandatory.

Leave Days

Specify the number of leave days credited when the configured overtime hours are achieved.

Example:

  • 0.5 Day
  • 1 Day

This field is mandatory.

Leaves Per Period

Specify the maximum number of leave credits that can be granted during the selected credit period.

This field is mandatory.

Leave Type

Select the leave type that will receive the credited leave.

Example:

  • Compensatory Leave
  • Time Off Leave

This field is mandatory.

Save the Rule

After completing all required information:

  1. Review the configuration.
  2. Click Save Rule.

The new rule is validated and immediately added to the OT Auto Leave Credit table.

If mandatory fields are missing, the system displays inline validation messages and prevents saving.

Edit a Rule

To modify an existing rule:

  1. Locate the required rule.
  2. Click the Edit icon.
  3. Update the necessary information.
  4. Click Save Rule.

The updated rule becomes effective immediately after saving.

Enable or Disable a Rule

Administrators can activate or deactivate a rule without deleting it.

To change the status:

  1. Locate the rule.
  2. Toggle Auto OT Credit On or Off.

Inactive rules remain available in the system but are excluded from automatic overtime leave credit processing.

Delete a Rule

To permanently remove a rule:

  1. Locate the required rule.
  2. Click the Delete icon.
  3. Confirm the deletion.

The rule is immediately removed from the configuration list.

  • Configuration ID
  • Tenant ID
  • Business Entity
  • Business Unit
  • Department
  • Country
  • Location
  • Designation
  • Cost Center
  • Credit Period
  • OT Hours
  • Leave Days
  • Leaves Per Period
  • Leave Type
  • Auto OT Credit Status

These properties define how approved overtime hours are automatically converted into employee leave credits within the organisation.
