Dashboard
Overview
The Dashboard is the first screen employees see after logging into GEMS HR. It provides a quick overview of daily activities and allows employees to manage attendance, view important work information, request overtime, and complete approved overtime tasks from one place.
The dashboard is designed to help employees complete routine daily actions without navigating to multiple modules.
Dashboard Features
The Dashboard includes the following sections:
- Current Date & Time Tracking
- Employee Information Summary
- Overtime Request
- Approved Overtime
Current Date & Time Tracking
The Current Date & Time Tracking section allows employees to see current date, current time and record their daily attendance.
Available Information
- Current work status
- Check-in time
- Running work timer
- Total working session
Check In
To start your working day:
- Open the Dashboard.
- Click Check In.
- Your attendance is recorded.
- The work timer starts automatically.
After checking in, the system displays:
- Check-in time
- Working status
- Live work timer
Note: You can only check in once per working day.
Check Out
To end your working day:
- Click Check Out.
- The work timer stops.
- Your working session is completed.
The system records your total working duration automatically.
Note: You must check in before you can check out.
Employee Information Summary
The Dashboard provides a quick summary of important employee information.
The summary includes:
- Remaining annual leave balance
- Team & Department
- Office & Location
- Standard office working hours
This information is displayed for reference only.
Request Overtime
Employees can submit overtime requests directly from the Dashboard.
Two request types are available:
Pre-Approval
Select this option when requesting overtime before performing the work.
Use this option when:
- Planning overtime for today
- Planning overtime for a future date
Past Date
Select this option when recording overtime that has already been completed.
Use this option if you worked overtime on a previous date and need to submit it for approval.
Submit an Overtime Request
To submit an overtime request:
- Open the Request Overtime section.
- Select the overtime type.
- Choose the date.
- Enter the overtime start time.
- Enter the overtime end time.
- Enter the reason for the request.
- Click Submit Request.
The system automatically calculates the total overtime duration before submission.
After submission, your request is sent for approval and a confirmation message is displayed.
You can select Submit Another to create a new request.
Approved Overtime
Once an overtime request has been approved, it appears in the Approved Overtime section.
From here, employees can complete the overtime attendance process.
Record Overtime Attendance
For an approved overtime request:
- Click OT Check In when starting overtime.
- Complete the overtime work.
- Click OT Check Out when finished.
- Review the recorded time if required.
- Click Submit to submit the overtime claim.
After submission, the overtime entry is removed from the list and sent for verification.
Edit Overtime Check-Out Time
If required, employees can edit the recorded overtime check-out time before submitting the claim.
Notifications
Employees receive notifications on the Dashboard whenever important activities occur.
Examples include:
- Leave request approved or rejected
- Attendance request approved or rejected
- Overtime request approved or rejected
- Overtime claim approved or rejected
- Expense request updates
- Asset request updates
- Goal and performance review updates
- Employee profile updates
- Leave balance updates
- New leave policy announcements
- Timesheet approval updates
- Company announcements from administrators
Mobile Dashboard
The mobile application provides quick access to daily attendance.
Employees can:
- Check In
- Check Out
- View their work timer
- View their check-in time
- Monitor today’s working progress
Important Notes
- Employees can only check in once per working day.
- Check Out is available only after Check In.
- Overtime requests require all mandatory fields to be completed.
- The system automatically calculates overtime duration based on the selected start and end times.
- Approved overtime must be checked in and checked out before the claim can be submitted.
- Notifications help employees stay informed about approvals, requests, and important company updates.
