OT Manual Leave Credit
The OT Manual Leave Credit page allows HR administrators to configure rules that define how approved overtime hours are manually converted into leave credits. Unlike OT Auto Leave Credit, these rules do not automatically credit leave. Instead, they provide the conversion ratio, organisational scope, leave type, and priority that administrators use when manually assigning leave credits to employees.
Access OT Manual Leave Credit
- Navigate to Configuration Settings.
- Select OT Manual Leave Credit.
- The OT Manual Leave Credit page opens displaying all configured rules.
The page displays all existing manual leave credit rules along with their conversion settings and organisational scope.
OT Manual Leave Credit Rules
The rules table displays all configured OT Manual Leave Credit rules.
The table includes:
- Priority
- Business Entity
- Business Unit
- Department
- Country
- Location
- OT Hours → Leave Days
- Leave Type
- Actions
Administrators can edit or delete any rule directly from the table.
Search Rules
Administrators can quickly locate rules using the search bar.
Rules can be searched by:
- Business Entity
If no matching records are found, the system displays “No records found matching the criteria.”
Create a New Rule
To create a new OT Manual Leave Credit rule:
- Open OT Manual Leave Credit.
- Click + Add Rule.
- Complete the required information.
- Click Save Rule.
The New OT Manual Leave Credit Rule page opens with the following default values:
- Organisational fields set to All
- OT Hours = 8
- Leave Days = 1
Rule Information
Configure the following information while creating or editing a rule.
Business Entity
Business Unit
Department
Country
Location
OT Hours
Enter the number of overtime hours required for leave credit.
Example:
- 8 Hours
This field is mandatory.
Leave Days
Enter the number of leave days credited for the specified overtime hours.
Example:
- 1 Day
- 0.5 Day
This field is mandatory.
Leave Type
Optionally select the leave type that will receive the manual leave credit.
If no specific leave type is selected, the rule applies to all leave types.
Conversion Preview
As OT Hours and Leave Days are entered, the system automatically displays a live conversion hint.
Example:
1 day credited per every 8 hrs of OT
This preview updates automatically whenever the conversion values change.
Save the Rule
After completing the required information:
- Review the rule configuration.
- Click Save Rule.
The system validates the OT Hours and Leave Days fields before saving.
If validation succeeds, the rule is immediately added to the rules table.
If either mandatory field is left blank, the system displays inline validation messages and prevents saving.
Edit a Rule
To modify an existing rule:
- Locate the required rule.
- Click the Edit icon.
- Update the required information.
- Click Save Rule.
The form opens with all previously configured values, including organisational scope, OT Hours, Leave Days, Leave Type, and Priority.
Delete a Rule
To permanently remove a rule:
- Locate the required rule.
- Click the Delete icon.
- Confirm the deletion.
The selected rule is immediately removed from the configuration list.
Rule Properties
Each OT Manual Leave Credit rule stores the following information:
- Configuration ID
- Tenant ID
- Business Entity
- Business Unit
- Department
- Country Code
- Location
- OT Hours
- Leave Days
- Leave Type Configuration ID
- Leave Code / Leave Name
- Priority
- Sort Order
These properties define how overtime hours are manually converted into leave credits and determine which rule is used when multiple rules match an employee.
