Leave Configuration

The Leave Configuration page under Configuration Settings enables system administrators to configure and maintain all leave-related master data for the organisation. It serves as the central location for defining leave types, configuring leave accrual rules, managing holiday and work calendars, assigning calendars to organisational units, and scheduling automated leave accrual processes. The configurations defined on this page determine how leave balances are earned, carried forward, encashed, capped, and applied across employees.

Access Leave Configuration

  1. Navigate to Configuration Settings.
  2. Select Leave Configuration from the left navigation panel.
  3. The Leave Types section opens by default.

The page contains the following configuration modules:

  • Leave Types
  • Leave Settings
  • Accrual Job
  • Holiday Calendar
  • Calendar Definition
  • Calendar Assignment

If no records are available for the selected module, the system displays an appropriate empty-state message.

Leave Types

The Leave Types module allows administrators to create and maintain different leave categories available within the organisation.

The Leave Types table displays:

  • Leave Code
  • Leave Name
  • Category
  • Paid Leave
  • Carry Forward
  • Encashable
  • Gender Eligibility
  • Status
  • Edit
  • Delete

The table supports pagination, real-time filtering, and search functionality.

Create a Leave Type

To create a new leave type:

  1. Open the Leave Types module.
  2. Click + Add Leave Type.
  3. Enter the Leave Name.
  4. Configure:
    • Category
    • Gender Eligibility
    • Paid Leave
    • Carry Forward
    • Encashable
    • Status
  5. Click Create.

The system automatically generates the Leave Code based on the leave name (for example, Casual Leave → CL).

After successful creation:

  • The leave type appears immediately in the Leave Types table.
  • It becomes available for selection throughout the Leave Configuration module.
  • A confirmation message is displayed.

If the Leave Name is blank, the system prevents submission and displays an error message.

Edit a Leave Type

To modify an existing leave type:

  1. Locate the required leave type.
  2. Click the Edit icon.
  3. Update the required information.
  4. Click Save.

The updated information is immediately reflected in the Leave Types table.

Delete a Leave Type

Administrators can remove leave types that are no longer required.

To delete a leave type:

  1. Click the Delete icon.
  2. Confirm the deletion.

The selected leave type is removed from the configuration list.

Assign Leave Types

The Assign Leave Type section maps leave types to organisational entities.

The assignment table includes:

  • Business Entity
  • Country
  • Leave Type
  • Business Unit
  • Department
  • Location
  • Status

This enables organizations to make specific leave types available only to selected business entities or countries.

Search and Filter

All configuration modules support real-time search and filtering.

Available features include:

  • Search records
  • Filter by Status
  • View Active or Inactive records
  • Display live record counts
  • Real-time table refresh

When no records match the selected search or filter criteria, an empty-state message is displayed.

Leave Settings

The Leave Settings module defines the rules governing leave accrual and leave balance calculations.

Administrators can configure policies related to:

  • Leave accrual
  • Carry forward
  • Leave balance limits
  • Leave caps
  • Leave credit rules

These settings determine how employee leave balances are calculated throughout the system.

Accrual Job

The Accrual Job module manages automated leave credit processes.

Administrators can:

  • Configure accrual schedules
  • Run leave accrual jobs
  • Automate periodic leave balance updates

Configured accrual jobs ensure leave balances are credited according to organisational policies.

Holiday Calendar

The Holiday Calendar module allows administrators to maintain organisation-wide holidays.

Administrators can:

  • Create holiday calendars
  • Add holidays
  • Edit holiday information
  • Delete holidays
  • Maintain country or entity-specific holiday lists

Holiday calendars are referenced when calculating employee working days and leave balances.

Calendar Definition

The Calendar Definition module defines work calendars for the organisation.

Administrators can configure:

  • Working days
  • Weekly work patterns
  • Business calendars
  • Standard work schedules

These calendars determine employee working schedules across different organisational units.

Calendar Assignment

The Calendar Assignment module assigns work and holiday calendars to organisational scopes.

Assignments can be configured for:

  • Business Entities
  • Business Units
  • Countries
  • Departments
  • Locations

These assignments ensure the correct work calendar and holiday calendar are applied to employees within each organisational scope.

Leave Type Information

Each leave type stores the following information:

  • Leave Code
  • Leave Name
  • Category
  • Paid Leave
  • Carry Forward
  • Encashable
  • Gender Eligibility
  • Status
  • Sort Order
  • Description
  • Legacy Leave Type Mapping

The system also maintains:

  • Configuration ID
  • Created Date
  • Updated Date

These properties support the administration and lifecycle management of leave configurations.
