Time Sheet
Overview
The Time Sheet page enables employees to record, manage, and submit their weekly work hours for approval. It provides a single location where employees can create timesheets, log hours against projects and tasks, save work in progress as drafts, submit completed timesheets for approval, and review previously submitted timesheets and their approval status.
The page consists of the following sections:

- Timesheet History
Create Timesheet
Overview
The Create Timesheet section allows employees to create and maintain their own timesheets for a two-week period. Employees can log working hours against Business Units, Departments, Projects, Cost Centres, Tasks, and Time Types before submitting the timesheet to their reporting manager for approval.
Create a New Timesheet
To create a new timesheet:
- Navigate to Attendance → Time Sheet.
- Click + New Time Sheet.
- Select the required organisational details:
- Business Unit
- Department
- Country
- Location
- Select the appropriate:
- Time Type
- Project
- Cost Centre
- Task
- Enter the number of hours worked for each day across the two-week period.
- Add additional rows if hours need to be logged against multiple projects or tasks.
- Save the timesheet as a draft or submit it for approval.
Save as Draft
Employees can save a timesheet as a Draft at any time.
Draft timesheets:
- Remain editable.
- Can be updated multiple times.
- Can be deleted before submission.
- Are assigned a system-generated TS Code when first saved.
Submit a Timesheet
After completing all required entries:
- Review the logged hours.
- Click Submit.
- Confirm the submission.
Once submitted:
- Remain editable until manager takes any action on it.
- It is routed to the reporting manager for approval.
- The status changes from Draft to Submitted.
Search Timesheets
Employees can search existing timesheets using the search bar.
The search updates the list dynamically and also refreshes the record count and pagination.
Timesheet History
Overview
The Timesheet History section displays all submitted timesheets along with their final approval outcome. Once a timesheet has been reviewed by the manager, it moves from the Create Timesheet section into Timesheet History.
Employees can:
- View submitted timesheets.
- Review approval status.
- View approval logs.
- Review rejected timesheets and rejection reasons.
- Access previously approved timesheets for reference.
Timesheet Statuses
A timesheet can have one of the following statuses:
- Approved
- Rejected
Timesheet Information
Each timesheet stores information including:
- Timesheet ID
- Employee ID
- Week Start Date
- Week End Date
- Status
- Total Hours
- Working Hours
- Paid Leave Hours
- Holiday Hours
- Week Off Hours
- Submitted Date
- Reviewed Date
- Reviewed By
- Rejection Reason (if applicable)
View Log
Employees can view the full approval history of any processed timesheet using the View Log (eye) icon.
- Click the View Log icon on a timesheet row.
- The Time Sheet Approval Log modal opens, displaying: Summary Bar:
- Projects
- Total Hours
- Submitted On
- Submissions
- Submitted — Employee Name, Employee ID, Date and Time
- Approved / Rejected / Requested for More Details — Name of the approver (Manager or Manager’s Manager), Date and Time
- If the timesheet was resubmitted, the timeline also shows:
- Resubmitted — Employee Name, Employee ID, Date and Time
- Approved / Rejected / Requested for More Details — Name of the approver, Date and Time
- Click the close icon (✕) to exit the modal.
If the timesheet is Approved or Rejected, the record is closed; otherwise it remains open for further action.
Important Notes
- Each timesheet covers a two-week period.
- Organisation details apply to all entries within the same timesheet.
- Employees can add multiple rows to record hours against different projects, tasks, or time types.
- Daily totals and overall timesheet totals are calculated automatically as hours are entered.
- Only Draft timesheets can be edited or deleted.
- Submitted timesheets require manager approval before becoming Approved or Rejected.
- Approved and rejected timesheets remain available in Timesheet History for future reference.
