Leave Adjustment

The Leave Adjustment module enables HR Administrators to manually adjust employee leave balances and manage attendance-related leave transactions. It provides dedicated tabs for manually crediting overtime (OT) as leave, manually debiting leave for attendance shortfalls, and reviewing the complete history of OT credits and Time Lapse (TL) deductions. The module supports searching, filtering, bulk processing, transaction reversal, and exporting records while maintaining a complete audit trail of all adjustments.


Features

The Leave Adjustment module consists of four functional tabs:

  • OT – Manual Leave Credit
  • TL – Manual Leave Debit
  • OT – Credit History
  • TL – Debit History

Each tab serves a specific purpose for managing employee leave adjustments and maintaining adjustment history.

OT – Manual Leave Credit

The OT – Manual Leave Credit tab allows HR Administrators to manually convert eligible employees’ accumulated overtime (OT) hours into leave days. The page lists employees eligible for OT conversion together with their organisational details and total OT hours. HR can search, filter, select one or more employees, and apply leave credits manually.

Access the Tab

  1. Navigate to Leave Management → Leave Adjustment.
  2. Open the OT – Manual Leave Credit tab.

The page displays eligible employees along with their OT information and leave type.

Apply Manual Leave Credit

  1. Search for an employee using the search box (optional).
  2. Select one or more employees using the checkboxes.
  3. Open the Actions menu.
  4. Apply the leave credit from Action drop-down.
  5. The selected employees receive the configured leave credit.

After successful processing, the adjustment is recorded in OT Credit History.

TL – Manual Leave Debit

The TL – Manual Leave Debit tab allows HR Administrators to manually apply leave deductions to employees whose attendance shortfall has exceeded the configured threshold. The system identifies eligible employees and determines the leave type and deduction priority before HR confirms the deduction.

Access the Tab

  1. Navigate to Leave Management → Leave Adjustment.
  2. Open the TL – Manual Leave Debit tab.

The system displays all pending attendance shortfall records awaiting leave deduction.

Apply Manual Leave Debit

  1. Search for an employee if required.
  2. Select one or more employees.
  3. Click Preview to review the deductions.
  4. Click Apply Deductions from Action drop-down.
  5. Confirm the operation.

After successful processing:

  • Leave is deducted.
  • Processed employees are removed from the pending list.
  • The transaction is recorded in TL Deduction History.

OT – Credit History

The OT – Credit History tab provides a complete audit trail of all overtime leave credits that have already been processed. Administrators can search records, filter them by status, export reports, and reverse previously applied credits when necessary.

Available Functions

Administrators can:

  • View all processed OT credit records.
  • Search by employee name or employee ID.
  • Filter records by status.
  • Reverse previously applied leave credits.

TL – Debit History

The TL – Debit History tab maintains a complete history of all attendance-related leave deductions. It allows HR Administrators to review deduction transactions, reverse deductions individually or in bulk, and export historical records for audit and reporting purposes.

Available Functions

Administrators can:

  • View deduction history.
  • Search employees by name or employee ID.
  • Filter records by status.
  • Reverse individual or multiple deductions.
  • Maintain a complete audit history.

Common Features

Across all Leave Adjustment tabs, users can:

  • Search employee records.
  • Filter displayed records.
  • Select multiple employees.
  • Perform bulk actions where applicable.
  • View organisational details such as Business Entity, Business Unit, Department, Country, and Location.
  • View transaction status.
  • Reverse eligible transactions from history tabs.

Business Rules

  • Only authorised HR Administrators can perform leave adjustments.
  • OT Leave Credits can only be applied to employees eligible for overtime conversion.
  • TL Leave Debits can only be applied to employees who exceed the configured attendance shortfall threshold.
  • Every manual credit and debit transaction is recorded in its respective History tab.
  • Reversed transactions remain visible in history for audit purposes and are marked as Reversed.
  • History records can be exported for reporting and compliance.

Error Handling

The module handles common scenarios as follows:

  • If no matching employee records exist, the page displays “No records found.”
  • If a tab fails to load, an error message is displayed.
  • Search filters automatically update the displayed results.
  • Reversed transactions remain available for audit but cannot be processed again.
