Leave Application-Related Employees

The Leave Application – Related Employees module enables managers to review, approve, reject, and track leave requests submitted by employees reporting to them. It provides a centralised workspace for processing leave requests, monitoring request history, and managing approvals across different reporting levels.

The module is organised into three tabs:

  • Direct Reports’ Pending – Displays pending leave requests from employees who report directly to the manager.
  • All Pending – Displays pending leave requests from both direct and indirect (second-line) reports.
  • Leave Request History – Displays previously processed leave requests in a read-only view.

Access Leave Application Management

To access the module:

  1. Log in to the Manager Portal.
  2. Navigate to Leave Management → Leave Application Management.

By default, the Direct Reports’ Pending tab opens and displays pending leave requests from the manager’s direct reports.

‘Direct Reports’ Pending

This tab displays all pending leave requests submitted by employees who report directly to the logged-in manager.

The table includes:

  • Employee (Name, Employee ID)
  • Leave Type
  • Start Date
  • End Date
  • Leave Days
  • Applied On
  • Attachments
  • Status
  • Reporting Line
  • Action

The Reporting Line column displays a Direct indicator for all records in this tab.

All Pending

The All Pending tab displays pending leave requests submitted by both:

  • Direct reports
  • Indirect (second-line) reports

This enables managers to review requests across multiple reporting levels while maintaining visibility of the reporting hierarchy.

Leave Request History

The Leave Request History tab provides a read-only record of processed leave requests.

The history includes requests with statuses such as:

  • Approved
  • Rejected

By default, the page displays records from the last seven days. No approval or rejection actions are available in this tab.

Search, Filter and Export

Managers can quickly locate leave requests using the available toolbar.

Available features include:

  • Search by Employee Name
  • Search by Employee ID
  • Status filters
  • Sorting
  • Column controls
  • CSV Export
  • Pagination

If no matching records are found, the system displays an appropriate empty state message.

Preview Supporting Documents

Managers can preview attachments submitted with a leave request.

The preview displays:

  • File Name
  • File Type
  • Employee Name
  • Leave Type
  • Applied On Date
  • Leave Status

If no attachment is available, the system displays No File and shows a warning notification.

Approve a Leave Request

To approve a leave request:

  1. Open the Direct Reports’ Pending or All Pending tab.
  2. Click Approve beside the required leave request.
  3. Review the leave request details in the Action Modal.
  4. Optionally enter a manager comment.
  5. Click Confirm.

After approval:

  • Leave status is updated to Approved.
  • Employee leave balance is updated.
  • The employee receives a notification.
  • The request list and count badges are refreshed.

Reject a Leave Request

To reject a leave request:

  1. Click Reject beside the required request.
  2. Review the leave details.
  3. Enter a mandatory manager comment.
  4. Click Confirm.

The leave request status changes to Rejected, and the employee is notified of the decision.

View Leave Request Details

Managers can view complete leave request information by selecting a processed request.

The detail view includes:

  • Request ID
  • Employee Name
  • Employee ID
  • Leave Type
  • Leave Duration
  • Start Date
  • End Date
  • Applied On Date
  • Status
  • Reason
  • Attachment
  • Reporting Hierarchy

If overlapping leave requests exist, the system displays an overlap warning.

Leave Request Information

Each leave request contains information such as:

  • Leave Request ID
  • Employee ID
  • Line Manager ID
  • Leave Type
  • Start Date
  • End Date
  • Leave Duration
  • Leave Status
  • Applied Date
  • Reason
  • Supporting Attachment
  • Manager Comments

Business Rules

The module follows these key business rules:

  • Only pending leave requests are displayed in the pending tabs by default.
  • The Direct Reports’ Pending tab displays requests from direct reports only.
  • Managers can approve or reject only pending leave requests.
  • A manager comment is mandatory when rejecting a leave request.
  • Leave balances are updated only after approval.
  • Employees receive notifications after approval or rejection.
  • Processed requests are available in Leave Request History for reference.

Error Handling

The system handles common scenarios as follows:

  • Displays an error if the page fails to load.
  • Displays an empty state when no pending leave requests exist.
  • Displays No records match the current filter when search results are empty.
  • Shows a warning if an attachment is unavailable.
  • Prevents rejection without a manager comment.
  • Displays an error if an approval or rejection action cannot be completed successfully.
