Project & Assignment
Overview
The Project & Assignments module enables administrators to create and manage projects, configure project tasks, and assign employees to projects using either organisational criteria or direct employee assignments. The module centralises project management while maintaining a clear separation between project configuration, task management, and team assignments.
The module consists of the following sections:
- Projects
- Team Assignment
- Tasks
Projects
Overview
The Projects section allows administrators to create, edit, and manage projects from a centralised interface. Each project contains project information, organisational details, billing classification, and associated tasks.
Administrators can:
- Create new projects.
- Edit existing projects.
- Configure project details.
- Add and manage project tasks.
- Delete projects.
- Navigate to Team Assignment for assigning employees.
Create a Project
To create a project:
- Navigate to Project & Assignments → Projects.
- Click + New Project.
- Enter the required project details.
- Configure organisational scope.
- Add project tasks.
- Save the project.
The project is created and displayed in the project list.
Edit a Project
Administrators can modify project information by selecting the project name or clicking the Edit icon.
The existing project details are loaded into the project form for editing.
Delete a Project
Selecting Delete removes the project along with its associated tasks from the system.
Manage Team Assignment
Each project contains a Manage option that opens the Team Assignment page for assigning employees to that project.
Team Assignment
Overview
The Team Assignment section enables administrators to assign employees to projects using two assignment methods:
- Org. Specific Assignment
- Direct Assignment
Each assignment method maintains its own records, actions, and management interface.
Org. Specific Assignment
The Org. Specific tab assigns employees automatically based on organisational hierarchy.
Assignments are configured using:
- Business Unit
- Department
- Country
- Location
Administrators can:
- Add organisational assignments.
- Edit assignments.
- Delete assignments.
Employees belonging to the selected organisational combination become part of the project automatically.
Direct Assignment
The Direct Assignment tab allows administrators to assign individual employees directly to a project.
Assignments may optionally include specific project tasks.
Administrators can:
- Select a project.
- Select project task(s).
- Search employees.
- Assign employees.
- Edit assignments.
- Remove assignments.
If all direct assignments are removed, the project automatically reverts to organisational assignment mode.
Tasks
Overview
The Tasks section provides a consolidated view of every task configured across all projects. Instead of managing tasks project-by-project, administrators can manage all tasks from a single page.
Administrators can:
- Create new tasks.
- Edit task information.
- Change project assignments.
- Update task codes.
- Change billable classification.
- Delete tasks.
Create a Task
To create a task:
- Navigate to Tasks.
- Click + Add.
- Enter the task details.
- Select the parent project.
- Save the task.
The task is added to the selected project.
Edit a Task
Selecting the Edit icon opens the task details with existing information, allowing administrators to update:
- Task Name
- Parent Project
- Task Code
- Billable / Non-Billable Status
Changes are saved immediately after confirmation.
Inline Editing
- Task Code
- Billable / Non-Billable Status
Certain task fields can be modified directly from the task list without opening the edit screen, including:
This enables quick updates across multiple projects.
Delete a Task
Deleting a task removes it from the associated project immediately.
Assignment Methods
Projects support two mutually exclusive assignment methods:
- Org. Specific Assignment – Employees are assigned automatically based on organisational hierarchy.
- Direct Assignment – Individual employees are assigned directly to projects and optionally to specific tasks.
Important Notes
- Projects, Team Assignment, and Tasks are managed as separate sections within the Project & Assignments module.
- Each project can contain multiple tasks.
- Team Assignment is managed independently from project creation.
- Tasks can be reassigned to different projects.
- Administrators can manage all project tasks from a single consolidated task list.
- Project team assignments can be maintained using either organisational scope or direct employee assignments, but not both simultaneously.
