Related Employees

The Related Employees section provides reporting managers with a centralized repository of their direct and related employees. It offers a structured and searchable interface to view employee information, enabling managers to monitor workforce details across departments and locations from a single dashboard. The module displays personal details, employment information, bank details, address information, and compliance records in a tabular format.

Users can:

  • View all related employees.
  • Search for a specific employee.
  • Open an employee profile for detailed review.
  • View employee records automatically created during onboarding.

To access the Related Employees directory:

  1. Log in to the Admin Portal.
  2. Navigate to Employee Directory → Related Employees.

The system displays all employees reporting to the logged-in manager.

The Related Employees directory displays all employees assigned to the reporting manager along with their essential information.

Typical information displayed includes:

  • Employee ID
  • Employee Name
  • Gender
  • Date of Birth
  • Blood Group
  • Official Email
  • Phone Number
  • Employment Details
  • Bank Details
  • Address Information
  • Compliance Information

Employee records generated during the onboarding process are automatically available with all submitted information populated.

The search functionality enables managers to quickly locate an employee within their reporting hierarchy.

To search for an employee:

  1. Enter the employee’s name or relevant details in the search box.
  2. Matching employee records are displayed instantly.

If no matching employee is found, the system displays:

No results found.

View Employee Profile

Selecting an employee opens the employee profile in view mode for detailed review.

The profile includes:

  • Personal Details
  • Employment Details
  • Bank Details
  • Compliance Details

If the employee profile cannot be loaded, the system displays an appropriate error message.

Review

If employee updates anything (Personal/Compliance Details) and submits for approval, then their respective managers approve from this page by clicking on inline option of individual rows after receiving the notification then particular updated information saves in the employee profile.

  1. Open Related Employees.
  2. Click on three dots of employee’s row.
  3. Select Approve Changes for Personal Details/Select Approve Compliance changes for Compliance Details.
  4. Click on Approve button

Automatic Employee Record Creation

Employee records are automatically created after successful onboarding. All personal, employment, and related information submitted during onboarding is populated into the Related Employees directory without requiring manual entry.

Error Handling

The system handles common scenarios as follows:

  • If the Related Employees directory cannot be loaded, an error message with a retry option is displayed.
  • Duplicate employee records are prevented through Employee ID and employee name validation.
  • If no employee records are available, the system displays No employees available.
  • If no search results are found, the system displays No results found.
  • If an employee profile fails to load, an appropriate error message is displayed.

Change History

The Change History section provides a read-only audit trail of every update made to a Related Employee record, used to maintain records linking an employee to related employees within the organization, such as reporting or family relationships.

Every successful update automatically creates a Change History entry containing:

  • Field Name
  • Previous Value
  • Updated Value
  • Changed By
  • Date & Time
  • Action Log (Update, Approve Changes, Approve Compliance, Activate, Deactivate)

For example, updating the Relationship Type field from “Spouse” to “Sibling” generates a new history row showing the exact before/after values, the user who made the change, and the timestamp.

Only successfully saved changes are recorded — cancelled or unsuccessful updates do not create history entries.

Grid Columns

The Change History grid displays: Field Name, Changed From, Changed To, Changed By, and Date & Time.

For example: Field Name – Relationship Type, Changed From – Spouse, Changed To – Sibling, Changed By – Admin’s Name, Date & Time – Current Date & Time.

Search, Filter, Sort, and Export

  • Search — Searches Change History by Field Name or Changed By.
  • Refresh — Reloads the Change History grid.
  • Filter — Applies field-level filters (e.g., by date range or Changed By).
  • Sort — Sorts the grid by any column.
  • Reset — Clears all search, filter, and sort criteria.
  • Actions — Export only.

Availability by Mode

  • Read Mode: The Change History section is fully visible and remains read-only. Users can search, filter, sort, refresh, reset, and export history records.
  • Edit Mode: Record details become editable per business rules, but the Change History section remains read-only regardless of page mode.

Records are displayed in descending chronological order, with the most recent change shown first. If no history records exist, the system displays “No Change History Available.” Users without view permission to this screen cannot access its Change History grid and are redirected to an access-denied page.

Important Notes

  • Related Employees displays only employees reporting to the logged-in manager.
  • Employee information is presented in a searchable tabular format.
  • New employee records are automatically created after successful onboarding.
  • Duplicate employee records are prevented through system validation.
  • Managers can search and review employee profiles but only for employees within their reporting hierarchy.
