Assignment
Once your Group Companies, Business Entities, Business Units, Sales Channels, Sales Teams, Service Teams, and Service Channels are defined, the Assignments module is where you connect them to each other — building the organizational hierarchy and routing logic that powers the rest of GEMS CRM.
Each assignment type follows the same basic pattern: a searchable list of existing links, a multi-row form for creating several assignments in one save, and read-only detail views. Rather than repeat that structure six times, this section highlights what each assignment connects and why it matters — then calls out anything that works differently.
How Assignments Work, in General
- Multi-row creation – every assignment form lets you add several rows at once via Add Row, so you can map, for example, one Business Unit to five Sales Channels in a single save
- Auto-filled names – you only ever select a code or ID from a searchable lookup; the corresponding name is pulled in automatically and can’t be typed manually
- Uniqueness is enforced – the same combination can’t be assigned twice; duplicates are caught before saving
- References protect deletion – once an assignment is being used elsewhere in the system (in routing rules, tickets, or transactions), it generally can’t be deleted, and in some cases the individual codes in that row become locked from further changes
- Everything is audited – every create, edit, and delete is written to a configuration audit log
Group Company · Business Entity
Links a Group Company to the Business Entities that sit beneath it in your corporate structure.
- Select a GC ID and BE ID for each row; both names auto-fill
- One Group Company can be linked to multiple Business Entities, and this relationship works both ways — a Business Entity can also appear under multiple Group Companies
- Deleting an assignment simply removes that link; it doesn’t affect the underlying Group Company or Business Entity records
Business Entity · Business Unit
Links a Business Entity to its operational Business Units.
- Select a BE ID and BU ID per row, with names auto-filled
- A single Business Entity commonly appears across multiple rows if it’s linked to several Business Units
Business Unit · Sales Channel
Defines which Sales Channels are available to each Business Unit — this is what powers the Business Unit dropdown you saw earlier on the Sales & Shipping tab, and feeds into Sales Team routing and Employee Organizational assignment.
- Select a BU Code and SC Code per row
- Both codes must reference records that are currently Active
- In Edit mode, codes may become locked if the mapping is already referenced downstream — for example, in Employee Organizational Details or Lead Assignment Rules
Sales Channel · Sales Team
Defines which Sales Teams are eligible to work leads and opportunities coming through a given Sales Channel — the core mapping behind lead routing.
- Select an SC ID and ST ID per row
- Multiple Sales Teams can be linked to the same Sales Channel, so you can split ownership across teams for a single channel
- Lead Assignment Rules read this table directly to restrict which Sales Teams are selectable for a given channel
Business Unit · Service Channel
The service-side counterpart to Business Unit · Sales Channel — defines which Service Channels (Email, Phone, Field Visit, etc.) are valid for each Business Unit, controlling what’s available during ticket creation.
- Select a BU Code and Service Channel ID per row
- As with the Sales Channel equivalent, codes may lock once referenced by Tickets, Ticket Parts, or Service Team configuration
Service Channel · Service Team
Defines which Service Teams handle tickets coming through each Service Channel — for example, routing Email Support tickets to your L1 team while Field Visit tickets go to a regional field team.
