Reports
The Reports module is your analytics workspace in GEMS CRM — where you build, organize, and run custom reports pulled from any CRM module, with optional grouping, filtering, and chart visualization.
Getting There
From Administrator → Analytics, you’ll see two options: Reports and Dashboard. Selecting Reports opens the Reports List View.

Left Sidebar Navigation
- Recent – with sub-views for Created by Me, Private Reports, Public Reports, and All Reports
- Folders – Created By Me, Shared With Me, and All Folders
- Favourites – reports you’ve marked for quick access
Central Report Management Area
- Search Reports – find a report by name
- New Report and New Folder – create a report or an organizing folder
- Reports Table – every report you have access to

Building a Report
Choosing a Module
Every report starts by selecting a source module — Lead, Account, Opportunity, Contact, Sales Quotes, or Sales Order — which determines what fields are available throughout the builder.
Outline Tab
The primary configuration tab, split into two sections:
- Groups – how the data should be grouped (e.g., for Leads: Lead Owner, Created By, Lead Status, Industry, Last Modified, Lead Converted)
- Columns – which fields appear in the report output (e.g., First Name, Last Name, Title, Company/Account, Email, Lead Sources, Lead Owner) — add or remove columns as needed
Filter Tab
Narrow down exactly which records show up in your results.
- Show My Leads Filter – choose between My Leads, All Leads, or Leads Queue
- Created Date Filter – filter by Create Date, Create Month, Last Modified, or Last Activity, with ranges like Today, Yesterday, Last 7/30 Days, This/Last Month, This/Last Year, or a fully Custom range with a calendar picker
Adding a Chart
Once you’ve configured at least one Group and one Column, the Add Chart button becomes available, letting you visualize your report as a Bar, Pie, Line, Donut, or Scatter chart.
Good to Know
- Both Groups and Columns must be configured before charting is enabled — a chart needs something to group by and something to display
Saving and Running
- Save – opens the Save Report popup, where you name the report, add a description, and choose (or create) a folder
- Run – executes the report and displays results immediately
- Save & Run – does both in one step
- Close – exits the builder
Good to Know
- A report can’t be run before it’s saved — Save always comes first
- Every report must belong to exactly one folder; folders can be Private, Shared, or Public
Report Detailed View
Opening a saved report shows the full output:
- Top Information – Record Name, Record Type, Total Records count, and a Show Chart toggle
- Results Table – the actual report data, structured by your configured columns (for example, a Lead report would show SL No., First Name, Last Name, Title, Company/Account, Email, Lead Sources, Rating, and Lead Owner)
Available Actions
- Edit – returns to the builder to adjust groups, columns, filters, or chart settings
- Delete – removes the report (restricted to authorized users)
- Export – downloads the report results
