The Schedule Call module is where every phone call activity gets planned and tracked in GEMS CRM — whether it’s a follow-up with a lead, a scheduled demo, or a routine check-in with an account. It keeps every call linked to the right record, with built-in overlap checking so you don’t accidentally double-book yourself.

Schedule Call List View

A consolidated view of every scheduled call across the CRM.

What You’ll See

  • All Calls Dropdown – switch between saved views
  • Search Bar – find a call quickly
  • Calls Grid – every scheduled call with its timing and status
  • Pagination – with an adjustable items-per-page selector

Grid Columns

ColumnDescription
SubjectThe call’s title or purpose
ChannelThe channel the call is associated with
Phone NumberThe number being called
Date & TimeWhen the call is scheduled
StatusThe call’s current state (e.g., Scheduled, Completed)

Each row includes View, Edit, and Delete actions.

Toolbar Actions

  • Schedule Call (+) – opens the New Call creation form
  • Filter, Refresh, Settings

Good to Know

  • Calls support bulk selection for batch actions
  • Whenever a call is created or edited, the system checks for timing overlaps against your existing schedule and flags any conflicts before saving
  • Delete is subject to your permission level

Call Detail View

Opening a call gives you its full context in one place, in a read-only view by default — switch into Edit mode to make changes.

What You’ll See

  • Call Information – Related Object, Call To, Call Type, Status, Channel, Assign To, and Call Time
  • Call Objective – the purpose of the call (e.g., Lead Follow-up, Opportunity, Demo, Presentation)
  • Call Outline – a free-text description of what the call covers
  • Reminder Settings – when you’ll be notified before the call starts
  • Call Outcome and Call Description – captured once the call has taken place

Additional Actions

From the More Menu, you can:

  • Reschedule Call – move the call to a new date/time
  • Change Timing – adjust the call’s duration or time slot

Good to Know

  • Rescheduling or changing timing triggers the same overlap validation used at creation — if the new time conflicts with another call, you’ll see a warning before it’s saved

Scheduling a New Call

Call Information

  • Subject – mandatory
  • Related Object – link the call to a Lead, Contact, Account, or Opportunity; this determines which lookup source is used for Call To
  • Call To – the specific person or record you’re calling, filtered based on the Related Object you chose
  • Call Type – Inbound or Outbound
  • Status – Scheduled or Completed
  • Channel and Assign To
  • Call Time – when the call is set to happen

Call Objective

Choose from None, Lead Follow-up, Opportunity, Demo, or Presentation — giving quick context on the purpose of the call without needing to read the full outline.

Call Outline

A free-text field to note what you plan to cover.

Call Reminder

Choose to be notified 5, 10, 15, or 25 minutes before the call starts.

Saving

  • Save – creates the call and validates it against your existing schedule for overlaps before committing
  • Save and New – creates the call and immediately opens a fresh form for the next one
  • Cancel – discards everything and returns you to the list
