Setting Up GEMS ERP guides new organisations through the initial onboarding process. During registration, an organisation creates its ERP workspace by providing company information, selecting a subscription plan, and setting up an administrator account. Once registration is complete, the system provisions the organisation workspace and enables secure access to the ERP portal through the login process.

Purpose

The setup process enables organisations to:

  • Create a new GEMS ERP workspace.
  • Register company information.
  • Select a subscription plan.
  • Create an administrator account.
  • Verify the administrator’s email address.
  • Securely access the ERP portal.
  • Recover account access using password recovery options when required.

Prerequisites

Before starting the registration process, ensure you have:

  • Company name
  • Valid business email address
  • Administrator contact details
  • Internet connection
  • Supported web browser

Register Your Organisation

To create a new GEMS ERP workspace:

  1. Open the GEMS ERP Registration page.
  2. Enter your Company Name.
  3. Review or edit the automatically generated Organisation Slug.
  4. Select your preferred Subscription Plan.
  5. Enter the administrator’s name.
  6. Enter the administrator’s email address.
  7. Create and confirm a secure password.
  8. Accept the Terms and Conditions (if applicable).
  9. Click Register.
  10. The system validates the information, creates the organisation workspace, assigns the administrator role, and sends an email verification request.

Verify Your Email

After successful registration:

  1. Open the verification email sent to your registered email address.
  2. Click the verification link.
  3. Your administrator account is activated.
  4. You can now sign in to GEMS ERP.

Note: Your account must be verified before you can access the ERP portal, if email verification is enabled.

Sign In to GEMS ERP

After your account has been created and verified:

  1. Open the GEMS ERP Login page.
  2. Enter your Organisation Slug.
  3. Enter your registered Email Address.
  4. Enter your Password.
  5. (Optional) Select Remember Me to keep your session active on the current device.
  6. Click Sign In.
  7. After successful authentication, you are redirected to the GEMS ERP dashboard.

Forgot Password

If you cannot remember your password:

  1. Click Forgot Password on the Login page.
  2. Enter your registered email address.
  3. Submit the request.
  4. Open the password reset email.
  5. Click the reset link.
  6. Create a new password.
  7. Sign in using your updated credentials.

Initialize Account

If your administrator has created your account but you have not yet activated it:

  1. Click Initialize Account.
  2. Enter the required verification information.
  3. Create your password.
  4. Complete the account activation process.
  5. Sign in using your new credentials.

First Login

After signing in successfully, you can:

  • Access the GEMS ERP Dashboard.
  • Navigate to the available ERP modules.
  • View notifications and user profile options.
  • Begin configuring organisational data and business processes based on your assigned permissions.

Common Login Issues

Invalid Organisation SlugVerify that the Organisation Slug is entered correctly.
Incorrect Email or PasswordCheck your credentials or reset your password using Forgot Password.
Email Not VerifiedComplete the email verification process before signing in.
Account Not ActivatedUse Initialize Account if your account has not yet been activated.
Access DeniedContact your system administrator to verify your account status and permissions.

Security Best Practices

  • Keep your login credentials confidential.
  • Use a strong password that meets your organisation’s security policy.
  • Do not share administrator accounts.
  • Sign out after completing your work, especially on shared devices.
  • Update your password periodically to maintain account security.
