Profit Center

Profit Centers are the organizational segments your business is measured against — product lines, locations, services, divisions, or functions. Once defined here, they’re used across Accounting, Reporting, and Cost Center assignment, and they’re what Profit Center Reports groups your income by.

Every Profit Center belongs to exactly one business entity and, through it, one group company. A business entity can have as many profit centers as it needs.

Access is permission-controlled. If you can’t see this screen, your administrator can grant you access.

The list view

Go to Master Data in the sidebar and select Profit Center.

Summary counters at the top show Total, Active, and Inactive records.

Searching and filtering

Search by PC number or profit center name. Where nothing matches, a “No Profit Centers found” message appears.

Three filters narrow the list independently: Status (All, Active, Inactive), PC Type, and Business Entity.

Choosing columns

Column visibility is configurable, except for the Status and Actions columns, which are always shown.

Automatic expiry

Every time the list loads, the system checks each record’s Valid Till date. Any profit center whose validity has passed is automatically set to Inactive — you don’t need to do this manually. Worth keeping in mind if a profit center you expect to see marked Active is showing as Inactive instead; check its Valid Till date first.

Creating a Profit Center

Click + New.

Fields

PC Number — you don’t set this. A preview appears in the format PC-{Business Entity Code}-XXXX, but it stays as a placeholder until you’ve selected a business entity, and the final number is only assigned once you save. It cannot be edited.

Profit Center Name — free text, up to 25 characters, with a character count shown as you type. Must be unique within the business entity you assign it to — the same name can be reused across different entities, just not within one.

Profit Center Type — chosen from a grouped dropdown:

Business Entity — selected from a dropdown of active business entities. This determines the PC Number prefix. Once the record is saved, this field is locked and cannot be reassigned to a different entity.

Group Company — you don’t set this directly. It’s derived automatically once you’ve selected a business entity, and shown alongside the entity name on the view page.

Individual / Org Responsible — free text, up to 25 characters, naming who or what is accountable for this profit center.

Created By — free text, up to 25 characters.

Created On — a date picker.

Valid Till — a date picker. This is the date that drives the automatic inactivation described above, so it’s worth setting deliberately rather than as a formality — a profit center with no expiry intended should still get a genuinely distant date.

Status — Active or Inactive.

Description — optional, up to 40 characters.

Saving

Click Save. The system validates every mandatory field, checks that the name is unique within the business entity, and then assigns the final PC Number. Where a check fails, the message appears inline beside the field and the record isn’t saved.

Once saved, a confirmation appears and you’re returned to the list with your new record visible.

Cancel returns you to the list without saving.

Viewing a Profit Center

Click the View icon to see every field in read-only form, along with the cost centers linked to it. Any field with no value shows a dash.

Editing a Profit Center

Click the Edit icon. All existing values are pre-filled. Business Entity is locked and cannot be changed — the same restriction that applies at creation.

Deleting a Profit Center

Click the Delete icon. A confirmation modal appears before the record is removed.

Deletion is blocked in two situations: if the profit center has been used in transactions, or if it has any cost center linked to it. In either case, the profit center needs to be disentangled from what’s using it before it can be deleted — inactivating it is usually the better path if you simply want to retire it.

Working with multiple records

Bulk actions

Select records using the checkboxes, then choose from: Mark Active, Mark Inactive, Extend Validity, or Export PDF. Attempting a bulk action with nothing selected produces a warning.

Exporting

Click Export and choose PDF, MS Excel, or Google Sheets. Exporting an empty list produces a “No data to export” message.

Importing

Click Import and upload a CSV, XLS, or XLSX file. Once processed, a summary shows how many records were added and how many were skipped.

Rows are skipped if they’re missing required columns, or if they reference a business entity that’s inactive or doesn’t exist. Worth checking your business entities are set up and active before a bulk import, since that’s the most likely reason for skipped rows.
